ITS Partners Streamlines Time Consuming Processes at Abington Memorial Hospital

ORGANIZATION

Abington Memorial Hospital (AMH) is a 665-bed, regional referral center and teaching hospital, which has been providing comprehensive, high-quality services for people in Montgomery, Bucks and Philadelphia counties for almost 100 years. AMH employs over 5,500 employees, making AMH one of the largest employers in Montgomery County. The hospital’s medical staff consists of over 1,100 physicians, including primary care, medical and surgical specialists. More than 1,100 volunteers give their time and talents to support this not-for-profit hospital, and AMH provides more than $45 million in free care to its community each year.

Using the Symantec Workflow Solution and consulting expertise from ITS Partners, AMH was able to streamline these many processes that in turn saved time and greatly improved the ability to manage the processes. "Director of Information Services"

BUSINESS CHALLENGE

AMH had several processes that took days, weeks, and sometimes months to complete. ITS Partners was brought in to streamline these time consuming, and often difficult processes. Using the Symantec Workflow Solution and consulting expertise from ITS Partners, AMH was able to streamline these many processes that in turn saved time and greatly improved the ability to manage the processes.

SOLUTIONS

PROCESS #1

USB Request Workflow - October 2011
ITS took a 7 step process that was used to request a USB Flash Drive for employees, and was able to take this and bring it in to Workflow. The approval process included many steps of pushing paper from one group to the next. With Workflow and two weeks of development, we were able to cut the time and accuracy of these requests greatly.

PROCESS #2

Change Control Request Form - October 2011
We took a manual paper process that was sent back and forth via email and automated it with Workflow. This process was the most significant as instead of taking at least two weeks to do a change control, we were able to do it in under a week. Also, we were able to put it against the respected cost centers.

PROCESS #3

RSA Workflow - January 2013
The purpose of this project was to create a request and approval process workflow for requesting RSA Tokens at AMH. This process took the place of a paper process that currently occurs when both employees and residents request RSA Tokens. The resident side of the process will require some functionality to determine if the requestor is a resident and offer secondary information to the resident based on that role. The process approver will be selected by the requestor from a list or source provided by AMH.

PROCESS #4

Software Push Validation - February 2013
Same concept as previous workflows in taking a paper process and automating it with Workflow. We had to integrate with AD and apply it to the same cost centers in Change Control. All approvals were automated and tracked all the way through the process. This made it available for reporting to ensure accuracy. The SPV process was also beneficial as management is more efficient as the Notifications go to the correct people to give them updates about deployments happening each day, as well as deployments happening in the next week.
